Introduction

This privacy policy statement (“Statement”) sets out how RewardPay (NZ) Limited, which has its registered office at RSM NEW ZEALAND (AUCKLAND), Level 2, Rsm House, 62 Highbrook Drive, East Tamaki, Auckland, 2013, New Zealand(“RewardPay”, “we”, “our” or “us”) deals with your personal information.

This policy applies to all of our products and services, including our websites, mobile applications and support channels. Your use of those products and services indicates your authorisation for us to collect, use, record, handle, store and share your personal information in the manner set out in this Statement.

We may need to update this Statement from time to time. We will let you know about any changes to the Statement by posting on our website and/or by emailing you from time to time.

Your privacy

We are committed to maintaining your privacy, and your privacy is extremely important to us.

We will ensure that our collection, use, recording, handling, storage and disclosure of your personal information (which is any information that identifies you) adheres to the Privacy Act 2020.

What information do we collect?

In order to communicate with customers and clients and lawfully operate our business, we need to collect certain personal information, including name, address, telephone number and email address.

Depending on your relationship with RewardPay, we will also collect and update information that is necessary to enable you to set up and maintain an account with us. Such information may include your date of birth, bank account details, credit or charge card details (such as card name, card number, card expiry date and card security code) and/or employment details. We will also require information proving your identity, for example information contained on your passport, birth certificate or driver’s licence.

Why do we collect personal information and what do we use it for?

We collect, update, share and utilise your personal information to facilitate and enable the provision of our products and services to you, including our payment facility.

Personal information may also be used for:

  • Contacting you.
  • Confirming your identity as required by law.
  • Assessing your credit worthiness.
  • Researching and developing new products.
  • Training, quality control and verification purposes.
  • Communicating RewardPay’s or a third party’s products and services to you.

You do not have to provide us with your personal information, however, if you do not do so, we may not be able to provide you with our products or services or facilitate a transaction you have requested.

How do we collect personal information?

We may collect information directly from you, such as over the telephone or internet, in person, or when you write to us. We may also collect personal information from third parties, such as credit reporting agencies, businesses that provide commercial credit worthiness information, your employer, our alliance partners, as well as any publicly available source of information and any other third parties that we may inform you of from time-to-time.

Telephone calls and correspondence between you and RewardPay may also be monitored or recorded. Please advise us if you do not want this to happen.

Who might we share your personal information with?

YAs part of providing our products or services to you, we may share your personal information with other organisations (confidentially). These organisations include (but are not necessarily limited to):

  • Credit reporting agencies, e.g., to assess your credit worthiness.
  • Solicitors, brokers or accountants, e.g., to obtain advice.
  • Insurers, insurance brokers, assessors and investigators, e.g., as required under our insurance policies.
  • Your nominated payees, e.g., to facilitate your requested payments.
  • Your bank and the banks of your nominated payees e.g., to facilitate your requested payments.
  • Card issuers e.g., for verification purposes.
  • Cloud service providers e.g., for information storage purposes.
  • Identity verification companies, e.g., to validate your identity.

We may also provide information to other third parties where it is required or authorised by law.

We impose reasonable security and confidentiality obligations on all third parties receiving personal information. Information is only shared with outside organisations to the extent required to enable them perform their support services, or to enable RewardPay to provide its products and services to you, or in accordance with this Statement.

Will my information be shared overseas?

We may transfer, store and process your personal information in New Zealand, Australia and overseas using services provided by third parties. That might include cloud service providers with data centres located outside of New Zealand.

Please note that the data protection and other laws of countries outside of New Zealand may not be as comprehensive as the laws of New Zealand.

How can I access my information?

You are entitled to request access to, and correction of, any personal information that we hold about you. You may do so by contacting our Privacy Officer, whose contact details are set out below.

Please note, under New Zealand law there are certain circumstances where we may refuse your access or correction request. If any such circumstances apply, we will explain what those are and why we are not providing the information or taking the corrective steps sought.

Should you wish to complain about how we have handled an access or correction request, or if you have any questions or concerns about how your personal information is being handled by us, please contact our Privacy Officer.

How is my information secured?

Your personal information is stored using generally accepted security technologies. We take reasonable steps to limit the access and use of personal information within RewardPay from misuse, loss, unauthorised access and unlawful disclosure.

Where personal information is no longer needed, we take reasonable steps to destroy or permanently de-identify it.

Where external organisations provide support services, we require them to safeguard the privacy of the information provided to them.

RewardPay Online

You will generally be anonymous when browsing the RewardPay website (http://www.rewardpay.co.nz) until such time as you login to the RewardPay portal, although please note, we use cookies to collect some limited information. This information includes your browser type, IP address and the server that your computer is logged onto and typically cannot be used by us to identify you until the time you log in to the RewardPay Portal.

Your browser can be configured to accept or reject all cookies. Your browser may also be set to notify when a cookie is sent.

Email

Where supplied, your email address will be recorded by RewardPay. This may be used to inform you about products and services we believe may be of interest to you and to provide you with promotional material. We will provide an option to ‘unsubscribe’ from such promotional email communications.

There may be times where we are required to send emails of a non-promotional nature regarding your service, such as payment confirmation. These emails are not marketing messages and cannot usually be ‘unsubscribed’ from unless your account with RewardPay is terminated.
